It happens to all of us every once in a while. In case you are sick, please follow this policy outlining the steps for reporting and recording sick leave.
Employee Responsibilities
Call Your Manager
As soon as you know you’re unwell and unable to work, inform your manager via a phone call. We understand that sending a WhatsApp or Slack is easier, but personal contact is very important, also for a possible handover.
Submit Sick Leave in Hibob
After notifying your manager, log into Hibob and submit your sick leave request using the open-ended option (i.e., no end date).
Close the Sick Leave Upon Return
On your last day of being sick (i.e., when you expect to return to work the next day), go back into Hibob and add the end date to your sick leave request to mark yourself as recovered.
Uncertain you will be recovered the next day?
If you’re not sure when you'll recover:
Do not add an end date.
Once you're back at work, notify your manager, who will either close the request in HiBob for you or coordinate with HR to do so (via hrm@tiqets.com).
Manager Responsibilities
Confirm Sick Leave is Submitted
After an employee calls in sick, ensure they have:
Submitted their sick leave in Hibob
Used the open-ended request option
Approve the Request
Approve the open-ended sick leave request in Hibob.
Follow Up Upon Return
When the employee returns:
Confirm they have added the end date to close the request
If they haven’t, remind them or do it on their behalf (when unsure, you can escalate the topic to your HR Coordinator)
Escalate Long Absences
If an employee is absent for an extended period, or if you have any concerns, please always contact your HR Business Partner (HRBP).
HR Responsibilities
Provide support in case of:
- Unavailable managers
- Sick leave requests that remain open without follow-up
- Complex or extended sick leave cases
This policy replaces the previous process where HR manually recorded sick leave.
After 7 days (including non-working days) of illness, a copy of a sickness report is obliged. An employee can get this from their GP.
* If sickness occurs during the employee's holidays, then Tiqets will suspend the holidays on request by the employee, and grant sick leave if the employee can hand in a doctor's statement and the employees manager & HR have been informed about the sick leave during holiday. Only then will the employee be able to take up the remaining holidays at a later time.
